1. Pre-Certification Stage (Preparation and Inquiry)

Step 1: Initial Inquiry & Consultation

  • The first step is to contact TNV Certification LLC or the relevant certification body.
  • TNVCert will discuss your organization’s needs, goals, and the ISO standard you wish to be certified for.
  • TNVCert will provide you with an overview of the ISO certification process, including timelines, costs, and requirements.

Step 2: Gap Analysis (Optional but Recommended)

  • TNVCert may suggest conducting a gap analysis or pre-assessment audit to identify any gaps between your existing processes and the requirements of the chosen ISO standard.
  • This is usually an optional step, but it can help you identify areas that need improvement before proceeding with the full audit.

2. Documentation and Implementation Stage

Step 3: Design and Implementation of Management System

  • TNVCert will provide guidance to help your organization align its processes with the requirements of the ISO standard.
  • You’ll need to design and implement the necessary policies, procedures, and practices required by the ISO standard.
  • This may involve updating your current documentation, improving processes, and training employees on new procedures.

Step 4: Internal Audits and Corrective Actions

  • After implementing the changes, your organization should conduct internal audits to verify the new system’s effectiveness.
  • Any non-conformities or issues identified should be corrected before proceeding to the formal certification audit.

Step 5: Management Review

• Senior management should perform a review of the management system to ensure its alignment with strategic objectives and its readiness for certification.

3. Certification Audit (Stage 1 and Stage 2)

Step 6: Stage 1 Audit (Documentation Review)

  • Once your organization is ready, TNVCert will schedule the Stage 1 Audit. This is a documentation review where the auditor will:
  • Evaluate your management system’s documentation and ensure it aligns with the ISO requirements.
  • Assess whether the organization has implemented the management system effectively.
  • Identify any potential weaknesses or areas for improvement before proceeding to the Stage 2 audit.
  • The auditors will review your written policies, procedures, and records to ensure conformity.

Step 7: Stage 2 Audit (On-site Evaluation)

  • Stage 2 is the main audit, and it typically involves:
  • A comprehensive on-site evaluation of your management system and operations.
  • Auditors will review your processes in practice, conduct interviews with employees, and inspect the workplace.
  • They will verify that your system complies with the relevant ISO standard, looking at all aspects of operations (e.g., quality, environmental management, etc.).
  • At the end of the audit, the auditors will provide a closing meeting to discuss findings, including any non-conformities.

4. Post-Audit Activities and Certification Decision

Step 8: Corrective Actions (If Required)

  • If the Stage 2 audit identifies any non-conformities, your organization will be required to implement corrective actions.
  • TNVCert may provide a deadline for the completion of these actions, and they must be documented and submitted to TNVCert for review before certification can be granted.

Step 9: Certification Decision

  • If the audit is successful, and no significant non-conformities are found, TNVCert will recommend issuing the ISO certificate.
  • TNV Certification LLC will formally issue the certificate, confirming that your organization complies with the relevant ISO standard.

5. Surveillance and Recertification

Step 10: Surveillance Audits

  • After receiving certification, your organization will be subject to surveillance audits, usually conducted annually.
  • These audits are designed to ensure your organization continues to comply with the ISO standard and that the management system is maintained effectively.
  • TNV Certification LLC will schedule periodic audits to monitor continued compliance and identify areas for improvement.

Step 11: Recertification

  • ISO certifications are typically valid for 3 years.
  • Before the certification expires, you will need to undergo a recertification audit to ensure that your management system is still compliant with the ISO standard.
  • If the audit is successful, your organization will be re-certified for another three-year period.
